SemiDown — Claim Verification Policy
Why we verify
Verification protects businesses and customers. It helps ensure each listing is managed by someone who's truly authorized, and that the information shown is accurate and up to date.
What we need from you
Please provide between 2 and 5 documents that prove your relationship to the facility. Accepted document types:
- Business License — Current state or local business license showing facility address (e.g., state business registration, DBA filing, occupational license)
- Tax Documents — Recent tax filings or EIN confirmation letter (e.g., IRS EIN letter, business tax return, sales tax permit)
- Lease Agreement — Current commercial lease or rental agreement showing your business as tenant at the facility address
- Utility Bill — Recent utility bill (within 90 days) in business name (e.g., electric, water, gas, or internet bill)
- Insurance Policy — Business liability or property insurance policy showing facility coverage
- Bank Statement — Recent business bank statement (within 90 days) showing business name and address
- Other Official Document — Any other official business document proving relationship (e.g., property deed, city permits, vendor invoices to facility)
Privacy & Security: Before uploading, please remove or black out:
- Social Security Numbers (SSNs)
- Bank account numbers and routing numbers
- Credit card numbers
- Personal home addresses (if different from business)
- Employee or customer personal information
Keep visible: Business name, facility address, document dates, issuing authority, and your name as business representative.
Name mismatch? If your legal entity name is different from the public brand (DBA), use the notes section to explain this difference.
How to upload
- Accepted file types: PDF, JPG, PNG, WebP (max 10 MB each)
- Required documents: Upload 2-5 documents total
- Make sure the business name and address match the facility you're claiming
- Use the notes field to explain any name mismatches, recent changes, or special circumstances
- Submit through the verification documents step in the claim wizard
Legal attestations
When submitting your claim, you must confirm the following attestations:
- Authorization: I am an authorized representative of this business and have the legal authority to submit this facility claim on behalf of the company.
- Accuracy: All information and documents I have provided are accurate, complete, and truthful to the best of my knowledge.
- Agreement: I have read and agree to the Terms of Service and this Claim Verification Policy, including the document retention and privacy policies.
What happens next
- Review: We check for a name match, address match, basic recency (at least one document from the last 12 months is ideal), and that you appear authorized to act for the business.
- Timeline: Most claims are reviewed within 2–3 business days. If anything's missing, we'll email you for more info.
- Outcome: You'll be notified by email when your claim is Approved, Needs More Information, or Denied (with a brief reason when possible).
After approval
You'll gain access to manage your listing—update hours, phone numbers, services, photos, and more—so customers see the most accurate information.
If your claim is denied
You can appeal within 30 days by replying to the decision email with additional details or clearer documents.
Your privacy
We only ask for what we need to verify your connection to the business. Documents are reviewed by a small team and are not shared outside SemiDown unless required by law or with your consent.
Document retention:
- Pending claims: If you start a claim but don't submit it, your uploaded documents are automatically deleted after 90 days.
- Submitted claims: Verification documents for reviewed claims are retained as needed for fraud prevention, dispute resolution, and compliance purposes.
- Audit records: We may retain minimal metadata (document type, submission date, decision outcome) indefinitely for auditing and legal compliance.
Security: Documents are transmitted via short-lived presigned URLs and stored with AES-256 encryption at rest. Storage access is restricted to authorized personnel only. All uploaded files are scanned for malware before storage, and we apply data minimization practices throughout.
False or abusive claims
Submitting false, forged, or misleading information may lead to denial, removal of a listing, or account suspension.
